Sample Approval & Spec Lock

Before bulk production, we check size, fabric, color, workmanship and packaging on physical samples. What both sides approve is written into a specification, and production and inspection follow it from then on.

What to check on samples

Using linen as an example, these are the points usually checked one by one when approving samples. Other categories are adjusted to suit the product.

Size & weight

Measured length, width and piece weight, with allowed tolerances stated.

Fabric & feel

Check composition and weave, comparing again after washing if needed.

Color & logo

Check against color codes in natural light, and check logo position, size and method.

Workmanship & packaging

Stitching, binding and stitch density, plus unit packaging and label content.

Samples usually go through three stages

Not every project needs all three rounds. Standard products may be approved in one go; custom products usually need several rounds of adjustment.

First sample
Confirm the direction: material, color and overall look.
Approved Sample
The version with details finalized becomes the bulk standard, with one kept by each side.
Pre-production sample
Before bulk production starts, check again with bulk materials as needed.

After approval,
how to keep bulk production on spec

Most differences between bulk goods and samples come from something not written down at the start. When approving samples, write the standard into the specification.

How we can help

  • Samples sent with the matching specification notes.
  • Recording feedback from each round and the final approval.
  • Approved details organized into a written specification kept by both sides.
  • During bulk production, goods are checked against the approved sample, with prompt feedback on any differences.

Confirmed per project

  • Sampling fees and sample shipping costs.
  • Sampling time: custom fabrics and colors usually take longer.
  • Allowed tolerances, such as color, size and weight variation.
