How far ahead of a new hotel opening should you start buying supplies?

The biggest worry before opening is goods not arriving. Purchasing time isn't just production; you also need to allow for sampling, consolidation, shipping, customs and setup at the hotel.

Short answer

  • Standard products: start 3–4 months before opening.
  • With customization (logo, color, packaging) or several categories: start 4–6 months before opening.
  • Large projects or projects with furniture: start 6+ months before opening.
  • Plan backward from the opening date, then leave 2–4 weeks of buffer for delays.

01Where the time goes

StageStandard productsCustom productsNotes
Confirm the list and quote1–2 weeks2–3 weeksThe more complete the information, the faster
Sampling & approval1–2 weeks3–6 weeksCustom colors and logos often take several rounds of changes
Bulk production3–5 weeks4–8 weeksDepends on quantity and factory schedules
Consolidation & shipping preparationAbout 1 week1–2 weeksSeveral factories wait for the last batch
Sea freight & customsDepends on the routeDepends on the routePer the sailing schedule at the time, plus customs clearance
Receiving, distribution and setup at the hotel1–2 weeks1–2 weeksBefore opening, beds still need making, items placing and a trial run

These are typical ranges; actual timing is scheduled once the list is confirmed.

02Planning backward: an example

Say the opening date is September 1, with linen that needs a custom logo, and sea freight plus customs estimated at 5–6 weeks:

TimeWhat needs to be done
Late JulyGoods reach the hotel, allowing 1–2 weeks for receiving and setup
Mid-JuneShipment
MayBulk production
AprilSample and approve
MarchFinalize the list and get quotes

Conclusion: start in March at the latest, about 6 months before opening.

03What most often causes delays

  • Custom colors and logos: each round of sample changes takes a week or two.
  • Furniture: sizes have to be checked against drawings, and production takes longer.
  • Multi-factory consolidation: the whole shipment waits for the last factory to finish.
  • Chinese New Year: factories usually stop for 2–4 weeks around it, so always plan around it.
  • Late payment and approvals: a late deposit or late sample approval means production starts late.

04What if time is short

  • Order standard items first and custom items later.
  • Ship in phases: linen and toiletries needed for opening go first, décor later.
  • Air freight for urgent small batches costs more, so use it only for key items.
